1. Who operates HOK Expert
HOK Expert is an independent Discord bot operated by its creator. For data questions, deletion requests, or concerns, contact doggytheplayful@gmail.com.
This policy covers this website and the bot operated by this creator. Discord, a website hosting provider, email providers, and any optional AI provider have their own policies.
2. What the bot processes and why
When Discord makes them available to the bot under its permissions, it can process:
- Message content: questions, commands, direct messages, replies, and referenced messages, to understand the current discussion and generate a response.
- Discord identifiers and metadata: user, server, channel, and message IDs, usernames, and message information needed to route replies, apply channel restrictions, and manage cooldowns.
- Recent channel messages: where occasional chat is enabled, a short rolling window helps the bot make a relevant comment. This can include ordinary messages that do not mention it.
- Usage records: API request times, token counts, estimated costs, and success or error outcomes, to enforce the operator’s spending limits and diagnose problems.
The bot does not need your Discord password, login token, payment details, or game account credentials. Please do not include sensitive personal information in a message to it.
3. What is stored and for how long
- Temporary chat context: hero/item focus, recent replies, message references, cooldowns, and short recent-message windows are held in memory on the computer or hosting service running the bot. They are replaced as bounded lists fill and are cleared when the process stops. Discord’s client library can also temporarily cache messages.
- Saved repair replies: successful optional OpenAI replies may be cached locally with a hashed lookup key. Raw questions and Discord user IDs are not stored as separate cache fields, but reply text can contain information from a question. Legacy repair replies are reused for up to 30 days. Fresh replies in probability mode bypass this cache and are held only in bounded temporary context. Expired entries are removed when another cache entry is written, so inactive entries can remain stored longer.
- API cost records: timestamps, token usage, estimated costs, and outcomes remain in the local ledger until the operator removes them. They do not contain raw Discord messages.
- Diagnostic logs: the application logs reply sources, quality scores, and error types rather than message bodies or credentials. If retained for troubleshooting, these records remain until the operator removes them.
- Operator-provided material: imported style examples and game notes remain in local files until the operator replaces or deletes them. See section 5.
The bot does not maintain a routine, persistent archive of full channel history. Replies posted on Discord remain subject to Discord’s storage and the server’s message management, even after temporary bot context is cleared.
4. Optional OpenAI processing and other services
Discord delivers messages and hosts the bot’s replies under Discord’s Privacy Policy.
OpenAI is optional. If the operator enables OpenAI, a configurable probability may select a fresh API reply for a direct reply or occasional channel comment. A selected request contains the current message, local draft, limited game notes, a quoted reply where applicable, and up to three brief recent conversation turns or recent channel messages. The default configured probability is 50%; spending caps, cooldown and availability may reduce the actual API share. With probability set to zero, only weak-draft repair may trigger a request. The bot does not send a full channel transcript, imported conversation files, or Discord IDs as separate request fields. Text you include yourself may still contain identifying information.
The request uses store=false. This does not mean the provider retains no data: OpenAI’s standard API abuse-monitoring logs may include prompts and responses and are normally retained for up to 30 days, with exceptions described in its policy. See OpenAI’s API data controls for current details.
The local half of replies, local test chats and owner-panel previews do not call OpenAI. Document-based answers, social replies and occasional channel comments may use the selected API path; game drafts remain grounded in the operator-provided reports. Provider processing may occur outside your country. The operator does not sell Discord message data or share it with advertising networks.
5. Conversation examples and game notes
The bot does not automatically train on live server messages. Its operator can provide original style examples and game notes for local response generation.
Examples should be original, appropriately permissioned, and stripped of identifying or sensitive material. Discord API-derived message content must not be used to train models without Discord’s express permission, as described in the Discord Developer Policy. Merely being able to export a conversation does not establish that permission.
Imported material is stored locally and is not uploaded as a dataset to OpenAI. It remains until the operator removes or replaces it. Contact the operator if you believe an imported example contains your personal information.
6. This website and contacting the creator
This website has no account registration, embedded analytics, advertising, tracking pixels, contact forms, cookies set by its code, or browser storage. It does not collect Discord login details. Invite buttons take you to Discord to authorize the bot.
A hosting provider may process your IP address, browser information, request time, and requested page to deliver and secure the website. A Cloudflare-hosted deployment is covered by Cloudflare’s Privacy Policy. If the site is hosted elsewhere, that provider’s policy applies instead.
Email links open your email application. If you email the creator, your address, message, and any attachments are processed by the email providers and the creator to handle your enquiry. Correspondence is retained as needed to resolve the request and maintain a record of its handling, until the creator removes it. Do not include credentials.
7. Your choices and privacy requests
You can stop interacting with the bot. Server administrators can deny its access to particular channels or remove it from the server. The operator can disable occasional channel comments or the optional OpenAI feature.
The /coach_forget command clears your hero/item conversation context in the current channel. It does not delete messages already posted on Discord, repair caches, or all temporary library caches.
To request access, correction, or deletion of personal information held by the operator, email doggytheplayful@gmail.com. Include your Discord ID and relevant message links or approximate dates so the creator can identify the material and verify the request. Do not send passwords or access tokens. Requests are reviewed in line with applicable requirements; information outside the operator’s control may need to be addressed to Discord or the relevant provider.
